This Knowledge Base article describes how to enter GL Budgets into Orion including an option to export/import the figures using a csv file.

View GL Budgets
Go to Accounts > General Ledger > Budgets
Enter GL Budgets
Double click on the relevant GL Code to display the Maintain window
Heading | Meaning |
NY Budget | Budget for the next financial year |
Budget | Budget for the current financial year |
LY Budget | Budget for the previous financial year |
Last Year | Actual Sales for the previous financial year |
use the Tab key to move down a column to the next month
Manual entry
Double click in the relevant field and enter the dollar value of the budget for that month
Fill method
There are SIX options:
Equal Amount - the figure entered in Period Amount will display in each month when you click Process
and choose either Current or NY Budget
Annual Amount - enter the TOTAL for the year and this will be split evenly between each month
Escalate % - enter the First Amount and then the percentage you want the budget to increase by each month
Escalate $ - enter the first amount and then the dollar amount you want the budget to increase by each month
Interpolate - enter the First Amount and Last Amount and the system will spread that range across the months
Last Year - enter the Increase % and the system will use Last Year figures to calculate the budget based on the increase percentage
Export of GL Budgets
This is a useful option if you want to check or use GL budgets which have been entered manually or by using Fill Method.
You can also use this option to export the GL codes so that you can enter your budgets using Excel or similar then saving as a csv file and importing them back into Orion
Click on the Export button then choose Yes on the confirmation screen:
A message about where the file has been saved will display along with an option to open the file:
Example of exported file:
The first block of columns is the current year budget:
Next block of figures is current year figures - column names include "TY":
Final block of figures are the GL totals for the last financial year - column names include "LY":
You can use the TY (this year actuals) and LY (previous year actuals) to help prepare the budget figures
Enter your budget figures in the first block of columns (the ones labelled with the month name and "budget" and save the file as a .csv
Import of GL Budgets
NOTE: importing This Year's budget figures will overwrite Last Year's figures and vice versa so we recommend importing both sets of figures in the same import
Go to Accounts > General Ledger > Budgets and click on the Import button
Then navigate to where you have saved the budget file to be imported
and click Open
If you get a "file not found" error message - it is likely the filepath is too long. We suggest you shorten the file name and/or the filepath and try again.
The Assign Fields to Import window will display:
Match up the Import fields (from the csv file) to the Target Fields (Orion) by clicking on the matching fields in each pane then click the Assign button. You must assign the GL Code in Import Fields to GLC:Keycode in the Target Field as well as the budget figures you want imported.
Budget[1] = January, Budget[2] is February etc
Tick Strip Header Record then OK
The Importing Records progress bar will display
and when the import finishes you should see the imported figures display in the GL Code Monthly Budget Listing
