Here's how to keep your SAM/Orion and SmartCheck systems in sync by transferring job, asset (vehicle) and results/followups between the systems...

Export data from Orion/SAM:

This is done to ensure the data in SmartCheck is up to date

  • Go to Misc > SmartCheck > Export
Orion:SAM:


If this is your first Export, we recommend you untick 'Fleet Only' on the following screen, as this will ensure all vehicles/items are uploaded to Smartcheck and will separate the upload into batches of 1000 vehicles at a time. 

The first-ever export to Smartcheck will take considerably longer than any subsequent exports.


Only tick the Fleet Only box if you use Fleet functionality and want to limit the upload to only vehicles/items that have a fleet number.


The Changes Only tickbox will speed up future exports, as it will only upload Vehicles/Items that have changed since the last upload.

Automated Data Uploads


After you've done an initial upload of jobs and vehicles to Smartcheck, a lot of the ongoing data transfers will just happen during standard use of SAM/Orion.


Specifically, when you create new jobs, they will be transferred through to Smartcheck and newly created vehicles will be automatically transferred.


Importing data to SAM or Orion (workshop)

  • Go to Misc > SmartCheck > Import

  • Open the Vehicle/Item listing and highlight the vehicle:
    • Click on Check Sheet at the bottom of the window:


The Follow-up report can be run if the SmartCheck was linked to a Follow-up


Automated Data Import


If you are using Smartcheck for WOF Inspections, the WOF checksheet results will import automatically when you open the WOF Checksheet Log (Enquiry > Wof Checksheet Log).


Checksheet results will also download automatically when you open a Work in Progress job.


If you find this automatic checksheet import has slowed down your program when opening a Job, you can disable the automatic check by going to Smartcheck Setup in SAM/Orion and untick the box to Check for sheet when opening job



Setup a Scheduled Task


To automate the transfer of data between SAM/Orion and SmartCheck, you can have a Windows Scheduled Task configured by an experienced IT service provider. However, with SAM 6026 and above this may not be required as most processes involved now feature an automatic upload routine to keep Smartcheck updated.


SmartCheck.exe, located within your SAM/Orion program folder, should be set up as a scheduled task with the parameter of ‘/AUTO’. The interval should be set to every 30 mins. 


If you are unfamiliar with the set-up and configuration of Windows Scheduled Tasks, we recommend you have this set up by an experienced IT Technician/Engineer. They may also have to add appropriate rules to your Firewall and Antivirus software to allow data transfer.
